Setting up your AI agent
Three short steps give your agent a name, a tone and the knowledge it answers from.
Updated
Open the guided setup from step 3 of the checklist (Set up), from Set up your AI agent in the Inbox, or from the note at the top of Agent settings. Only the workspace owner can open it. It has three steps: Agent, Knowledge and Review.
Step 1: Agent
- Agent name: what your agent calls itself, for example "Mia". Required.
- Tone of voice: Friendly (the default), Professional, Playful or Formal. A Tone example shows how each sounds.
- A little about your business: what you offer and what your agent should know about your services. Required. A short introduction is plenty; you can fine-tune it later.
Step 2: Knowledge
Everything here is optional.
- Business hours: one row per day, in your workspace timezone.
- Frequently asked questions: a question and its answer, then Add another question for more, up to 100.
- Advanced opens the AI agent reactivation phrase: after a teammate takes over a chat, a teammate sends this exact text in the conversation to turn the AI agent back on. It starts as four dots (
....); choose something a customer is unlikely to type. - Knowledge sources: Add PDF files (PDFs with selectable text, up to 20 MB each) or Or add a website. You can add up to 5 sources and 30 MB in total, and manage them later in Agent settings. Scanned PDFs can't be read, and product lists, menus and price lists belong in your catalog instead.
Step 3: Review
A summary of your agent and its knowledge, each with Edit. Click Save and build my agent. If you added knowledge sources, keep the page open while they upload; it then returns you to the Overview. Building takes a few minutes, and step 3 of the checklist shows Building until your agent is ready. Nothing changes for customers until you test it and go live.
Nothing is saved until you press Save and build my agent, so finish the three steps in one go: if you leave part-way, what you typed is lost.
What your agent collects for leads is step 4 of the checklist, not part of this setup. Everything here can be changed later in Agent settings, or with Edit agent on the checklist.
